OVERVIEW The role of the Project Manager (PM) is to plan and implement projects according to strict deadlines and within budget. This includes acquiring resources and coordinating the efforts of team members and third-party contractors or consultants in order to deliver projects according to plan. The PM will also define the project’s objectives and oversee quality control, helping to develop our methodology, and understanding of the requirements of a PM for future projects throughout its life cycle.
TIME & PLACE Location: West Bank/Jordan. Working days are Sunday to Thursday, full-time. This is not an office role; the PM will need to be mobile and travel to attend training and meetings as necessary. Bidna Capoeira expects that the Project Manager is flexible with working times and will follow-up with all issues as and when necessary.
REQUIREMENTS • Project management experience or proof of strong organisational skills • Management experience • Computer skills • Working knowledge of financial information; able to oversee and manage budgets • The ability to work under pressure in a challenging environment • Comfortable operating in complex political/cultural environments with particular reference to the Middle East context • Excellent communication skills: personable, friendly and understanding • Fluent English and very good Arabic; ability to hold a working conversation easily in Arabic o Strong written English o Knowledge in Portuguese and other language skills (optional)
MAIN RESPONSIBILITIES • Ensuring the successful realisation of project objectives and deliverables • Relationship building capturing knowledge and Mind Mapping • Managing economy and bookkeeping with Project Assistant • Managing the Project Team / training the project assistant • Representing Bidna Capoeira in accordance to the organisations strategic goals • Administrative tasks • Reporting
DELIVERY OF PROJECT OBJECTIVES Our donors support Bidna Capoeira to deliver high quality capoeira projects in line with overall and specific project objectives.
The Project Manager is responsible for making sure that the requirements are being met or exceeded. A project and activity plan should be produced and agreed with the Bidna Capoeira management team. The project plan forms the structure of the project and will be the basis for reporting and evaluating the PM performance. The activity plan (preferably presented as an excel sheet or equivalent) defines the project deliverables, the main activities, and necessary preparation actions/time.
Key responsibilities in connection to project deliverables: • Manage project development and implementation from beginning to end, meaning: • Estimate the resources and participants needed to achieve project goal • Plan, schedule and track project timelines and milestones using appropriate tools (project and activity plan, logs) • Effectively communicate project expectations to team members and stakeholders in a timely and clear fashion and delegate responsibilities • Support business goals in collaboration with the Management Team • Determine and assess need for additional staff and/or consultants and make the appropriate recruitments if necessary during project cycle in dialogue with the Management Team
MANAGING THE BUDGET AND BOOKKEEPING The PM manages the economy within the agreed limits set with the Management Team, including salary administration. The PM is also responsible for ensuring all the spending on the project is logged and receipts scanned in and stored online under supervision of the Bookkeeper (See Financial Manual). Where necessary, the PM may recommend budget changes.
MANAGE PROJECT TEAM The PM is responsible for managing each team member’s performance as per Job Description, Staff Manual and Bidna Capoeira Policies (CoC, CPP). This should include: • Holding regular team meetings • Monitoring and evaluation (M&E) visits to training sessions • Identify and resolve any issues and conflicts within the project team and • Providing the requisite training where a shortfall in skills means any of the team is falling below the required standards The PM should further coach, motivate and supervise project team members and contractors, and influence them to take positive action and accountability for their assigned work.
ADMINISTRATION & PROJECT LOGISTICS For all team members, the PM is responsible for coordinating their visa, international and local travel requirements, accommodation, insurance, and the other essential logistics for them to fulfil their roles.
RECRUIT & MANAGE VOLUNTEERS To be able to achieve additional benefits for the project, making use of volunteers would be very valuable. Opportunities for using volunteers exist and we would like to make the most of them. Before we accept any volunteers it is important their role or the task they are helping with is clearly outlined. The PM should draft the Volunteer Agreement in agreement with the volunteers’ capacities and use the standard Bidna Capoeira Volunteer Agreement.
REPORTING The PM reports to the Bidna Management Team on a weekly base in which goals are set and progress reviewed. These are preceded by a short written weekly report, including general update, problems and opportunities and a budget update. Monthly written reports according to time line, captured knowledge mapping and set goals. The PM will also be expected to provide a full financial and evaluation report on completion of the contract in coordination with the Evaluation Officer and relevant Bidna Capoeira team members.
